Booker Guidelines.

at anyspaces.com, we’re excited to embark on a successful promotional journey with you. To ensure a seamless partnership, we’ve outlined some key guidelines for you to be aware of during your booking.

Before You Start:

Your adherence to the terms and conditions outlined in the licensing agreement is crucial. To maintain a smooth process, please make sure your booking is finalised and the payment is processed before you arrive at the venue. Failure to have cleared payment may result in your booking being cancelled.

Explore the venue and space information for additional details, keeping an eye on potential changes in operating hours and documentation. Additionally, always adhere to local council regulations and laws.

Please be mindful that any changes to the space must be approved in writing by the venue team and must be made good at the end of the campaign.  Full adherence to WHS regulations is required.

Your campaign:

Continuous compliance with the campaign details you’ve submitted is a critical foundation for the booking. It’s imperative to adhere to the specifications outlined in your campaign as any discrepancies may affect the booking.

By consistently adhering to the campaign details and remaining flexible to potential adjustments, we can collectively contribute to a seamless and successful experience.

Checking In and Checking Out:

To kickstart a stellar promotional experience, we strongly recommend early setup and readiness. Take advantage of the three-hour window available before the main trading hours commence to access your space, allowing ample time for a flawless setup. Your campaign must be fully operational by the venue’s opening hours and must trade through the duration of the operating hours.

When your campaign concludes, swift action is key. Within three hours of the venue’s main closing time, ensure your setup is dismantled and removed, and the space is restored to its original condition.

For your convenience, capturing before-and-after photos is a smart practice for future reference.

During your campaign, please adhere to the rules of the venue.  This includes emergency evacuation requirements and other compliance requirements.

Special Requests and Flexibility:

Should you have unique requirements necessitating access outside the standard setup and takedown periods, clearly articulate them in the special requirements section of your campaign. While we strive to accommodate, approval of your booking does not guarantee constant accessibility to the space.

Seamless Check-In and Check-Out:

Our user-friendly app simplifies the check-in and check-out process. Don’t forget, that all attending staff must check in daily using the app.

Your commitment to these setup and takedown guidelines ensures not only a smooth campaign but also contributes to a positive and efficient experience for both you and our venue partners.

Guidelines for Everyone Onsite:

Your staff plays a pivotal role in representing your business throughout the duration of your booking, and as such, it’s crucial to reinforce the promoter guidelines with them consistently. Our venues offer a welcoming atmosphere, and any instances of abrasive, aggressive, or pushy behaviour will not be tolerated.

Our Expectations:

Respectful Conduct: Note the importance of conducting interactions with visitors and customers respectfully and all staff.  It is non-negotiable that you cannot call out to customers or attract attention.  Inappropriate behaviour will result in immediate termination of the booking.

Well Presented: Customers appreciate a professional appearance, so ensure staff wear branded uniforms and name badges.

Quality over quantity: Limit the number of promotional staff to two at a time unless otherwise agreed in the special requirements of your campaign.

Presentation:

Your display items must fit within the dimensions approved during the application process and be completely aligned with your campaign submission. Any equipment or signage must maintain a professional presentation that aligns with industry standards, and use high-quality compliant materials.

Equipment:

If you have booked venue-offered equipment, ensure it’s returned in the same condition. Use our easy check-in and check-out process to streamline the equipment-handling process.

Present your booking QR Code for equipment collection and ensure any issues are reported promptly. For returns, a quick QR Code scan will facilitate the process, with venue staff conducting a final inspection. Failure to return the equipment in the same condition may result in fees from the venue.

Communication:

Exclusively use the anyspaces.com communication portal for all booking-related correspondence. This ensures auditing and timely follow-ups. anyspaces.com has full access to all communications, facilitating escalation if necessary. Adhere to communication guidelines and clearly outline any modifications or requests, awaiting approval before proceeding.

Special Circumstances:

For campaigns that are retailing: it is important to display pricing, refund & exchange policies and remain compliant with all retail laws including the provision of certificates of authenticity if requested.

For campaigns that are using vehicles: Please ensure that the vehicle’s ignition is turned off, with only minimal fuel in the tank. Use tyre pads and wheel chocks to protect the floor of the display area. Access to the vehicle keys should be restricted. The vehicle must be inactive and secured from movement, with the handbrake always activated and maintained in the park position. Any essential refuelling or recharging requires written approval from the venue via communications. The vehicle must remain locked unless under strict booker supervision.

For campaigns involving food: you will need to upload your Food Health and Safety certificate in a PDF and attach this to your campaign as well as have the copy displayed on your promotional set-up at all times. You may also need to seek permission and compliance from local authorities outside of the booking process.

Important Considerations:

Dynamic Venue Permissions: Understand that there might be occasional changes in venue usage permissions and exclusions. These alterations can occur between the approval process and the campaign start date due to various factors.

Venue’s Regulatory Authority: Acknowledge that the venue reserves the right to request modifications or cessation of any aspect of your campaign. This is to ensure alignment with the prevailing rules and regulations set forth by the venue at any given time during the duration of your booking.

Consequences for Violations:

Any instances of behaviour that contradicts the above and our commitment to a safe and friendly environment may result in:

Booking Cancellation: Immediate cancellation of your booking.

Platform Removal: Removal from the anyspaces.com platform.
